Course fees in, clean books out.

The money that moves around a course, from the first fee to the year-end return.

Course fees

Fee invoices learners can pay from a link

Raise a fee invoice for each learner, or for a company sponsoring a group. Connect Instamojo and add a payment link to the invoice you email. Monthly subscriptions can go out as recurring invoices.

  • Payment link on the invoice (India)
  • Recurring invoices for subscriptions
  • Instalments as separate invoices
See invoicing →
Batch-wise income

Income and costs for every batch or cohort

Create a project for each batch and tag its fee invoices, instructor bills and marketing costs to it. The project's profit and loss tells you which courses to run again.

  • Projects on invoices, bills and expenses
  • Profit and loss for each batch
  • Custom fields such as course or centre
See project profitability →
Refunds and advances

Refunds and early fees, recorded properly

When a learner withdraws, raise a credit note against their invoice and record the refund. Fees paid before a course starts go in as advance receipts, so this month's income only shows courses you delivered.

  • Credit notes linked to the invoice
  • Refund vouchers with payment mode
  • Advance receipts held as a liability
See receivables →
Tax time

Taxes organised all year, not in the last week

Tax is worked out on every invoice, and tax-ready reports are there when you file. Balance Sheet, Profit and Loss and Trial Balance open in one click. Learners abroad can be invoiced in their own currency.

  • GSTR-1 and GSTR-3B summaries
  • Tax Summary and Taxation reports

Questions EdTech founders ask

Is ProfitBooks really free for a small coaching or e-learning business?

Yes. The free Startup plan gives one user 10 invoices a month, up to 50 customers and 10 products or services, expense tracking and basic financial reports, with no time limit. When you enrol more learners, upgrade from the pricing page.

Can students pay my invoices online through a link?

Yes, once a payment gateway like Instamojo is connected. Open the invoice under Income, then Invoices, and generate a payment link via Instamojo. The link can be attached when you email the invoice from ProfitBooks. This is currently for Indian users only.

Can I track income batch-wise or course-wise?

Yes. Create a project for each batch or course and tag its fee invoices, instructor bills and other costs to it. The project's profit and loss shows what each one earned. Projects are part of the SMB Pro plan; see project profitability.

How do I handle a refund when a learner drops out?

Raise a credit note against the learner's original invoice for the amount you are returning, then record the refund payment. The Credit Notes register lists every refund, and the credit notes are included in your GST summaries.

How do I record course fees paid before the course starts?

Record them as advance receipts. An advance sits in a liability account until the course is delivered and moves to revenue when you invoice. If you need a specific revenue recognition method, talk to our sales team about how to set it up in ProfitBooks.

Can I invoice international learners in their currency?

Yes. Raise the invoice in the learner's currency and enter the exchange rate. ProfitBooks records the rupee value, and the Gain or Loss report shows the effect of rate changes. Multi-currency is part of the Growth and SMB Pro plans.

Does ProfitBooks offer reports for EdTech companies?

Yes. ProfitBooks has 50+ reports. Profit and loss by project shows each batch, Outstanding Receipts and Receivable Aging show unpaid fees, and Tax Summary, GSTR-1 and GSTR-3B cover tax time. You can filter every report to drill down into the details.

How secure is learner and financial data?

Your data is hosted on Amazon Web Services, sent over a 256-bit encrypted HTTPS connection, encrypted with AES-256 and backed up every hour. You decide who can view, edit or manage each kind of data. Read more on our data security page.

Do I need to download ProfitBooks?

No. ProfitBooks is online accounting software, so there is nothing to download or install. Register with your email address and start using it in the browser or on the ProfitBooks app for iOS and Android.
