Questions hotel and resort owners ask

Is ProfitBooks really free for a small hotel or homestay?

Yes. The free Startup plan gives one user 10 invoices a month, up to 50 customers and 10 products or services, expense tracking and basic financial reports, with no time limit. A busy property will soon need more invoices; paid plans are on the pricing page.

How do I record a booking advance or deposit?

Record it as an advance receipt under Income, then Receipts, then Advance Receipts. The advance sits in a liability account until the stay, then moves to revenue when you raise the checkout invoice and adjust it. If you need a particular revenue recognition method, talk to our sales team.

Can I track room, restaurant and event income separately?

Yes. Set up rooms, meals, event hire and other services as separate items. Each invoice line then posts to its own income, so Profit and Loss and the Sales Register show what each revenue stream earned.

Can I call customers "guests" in ProfitBooks?

Yes. Go to Settings, then Other Preferences, then Change Default Labels, and rename Customer to Guest. You can rename Estimate and Warehouse the same way, for example Estimate to Quotation.

Can I see the profit on a wedding or conference?

Yes. Create a project for the event and tag its invoices, advances, supplier bills and expenses to it. The project's profit and loss shows what the event made. Projects are part of the SMB Pro plan; see project profitability.

Does ProfitBooks offer reports for hotels and resorts?

Yes. ProfitBooks has 50+ reports. Profit and Loss shows income by stream, Cash Book and Bank Book show the cash, Store Wise Stock and Stock Wastage cover the kitchen, and Outstanding Purchase Bills shows supplier dues. You can filter every report to drill into the details.

What security does ProfitBooks use for our data?
